How Home Executive Suite handles personal information under the Protection of Personal Information Act (POPIA).
Who we are
Home Executive Suite provides household-staff administration software to households in South Africa. Each subscribing household is the responsible party for its staff's information; Home Executive Suite acts as the operator processing that information on the household's behalf.
What we collect
Account details of homeowners (name, email, phone); employment records of household staff entered by them or their employer (name, ID number, contact details, address, emergency contact, banking details for salary payment, employment terms); uploaded documents (ID copies, contracts, permits); leave, payroll, and disciplinary records; and technical logs (IP address, access times) kept for security.
Why we collect it
Solely to administer the employment relationship: onboarding, leave management, payslip generation, UIF tracking, and record-keeping required by the Basic Conditions of Employment Act and Sectoral Determination 7. We do not sell personal information or use it for advertising.
Consent
Staff members give explicit consent during onboarding before any of their information is stored. They may view their own records at any time by logging in.
How we protect it
All traffic is encrypted (HTTPS). Documents are stored outside the public web space and can only be retrieved by authorised members of the same household. Passwords are stored as one-way hashes. Access to records is logged.
Retention and deletion
Employment records are retained while the household subscription is active and for the period required by South African labour law. A household may request deletion of its account and data by contacting us; statutory records may be retained where the law requires it.
Your rights
Under POPIA you may request access to, correction of, or deletion of your personal information, and you may complain to the Information Regulator (inforegulator.org.za). To exercise these rights, contact your employer (the responsible party) or email us.
